How to search the duration of Changes waiting for Change Analyst’s action
Hi, we submit many change orders, mainly ECOs and SCOs on a daily basis. Some of them were acted quickly by Change Analyst (from Submit to PE takes 1-2 days), some of them were left waiting to be pushed to PE step in days (can be more than 10 days). Is there a way to measure/report the duration from Submission to PE, and from PE to CCB? Thanks
Sunny, there is such a report that exists that looks at overall change cycle time which may not get you what you need but there are other tools at your disposal. You could also enact the escalation path option int he change flow to alert the approver manager or other after, sounds like 48 hours for you.
Hi, thanks for your quick reply. Our Agile do send Approval Reminder to CCB list, after 48 hours. This is reminder sent to CCB approvals, not to Change Analyst. Is this the Escalation path you mentioned? For the overall change cycle time report, did you mean the Change Cycle Time Report? Thanks
Yes change cycle time.
Yes, there is an escalation path. You can set this up by user to name who to be escalated too and at the escalation time it will trigger and allow the escalation user to be able to approve as well. Very effective when you name the manager.

Do you know the other tools? There is a Duration search function, but everything when I try to use it, it would say Duration can only be used with Cover Page Status………… do you know how to use this to search duration properly ? Thanks
With Duration, make sure you’re using the brackets “[” and your error should be referring to the actual Cover Page Status at the top of the attribute search drop down (same Status field you’d use if you wanted to see all ECOs in Submitted status, for instance).
See my attached example. It’s a search called “Changes that Require My Approval” but I’ve added a Duration field (remember, duration is in hours). It’s a good example of when you’d use Workflow Status versus Cover Page status. Your search will mimic the bottom two lines I have.

1. How to use the brackets [ ? I have never seen this before?
2. When I tried to do a Customer Search, see below, the Warning message shows: Workflow Status can only be used in a criteria group along with other workflow attributes. Why?

Hi Sunny,
Use brackets in the same way as parenthesis. On the left and right sides. as you would when adding parentheses, click on the circles. Then, down at the bottom of your screenshot you’ll see the “Grouping” button. Choose brackets. In your search above, all three lines will be in the same bracket. This will solve #1 and #2 of your question.
I’m quite sure you’ll need to use “Equals To” instead of Contains, by the way, for Approver Action (I seem to remember that causing issues when I was teaching myself how to use the workflow searches).
Also, use $CURRENT.STATUS as part of the bracketed attribute. You’re results, as-is, will pull Change Orders where a person didn’t sign, the change was rejected/returned, and then the user signed in Round 2 CCB and now the ECO is closed. Then you can add a Cover Page status at the bottom to specify “Change Orders with PE Approval CCB” if you want. Using $CURRENTSTATUS will pull just the current status (aka, current round of approvals)
Yes, so Duration uses Cover Page status while Approval/Observers use Workflow Status.
Hi Matt, thanks so much for your comment. I managed to use the brackets now. What’s the difference between () and [] ? I have no clue.
In addition, do you know how to generate the search to see duration from Submit to PE (if it’s PE workflow)? e.g. greater than 3 days between Submit to PE. We want to measure the time between Submit and being pushed to PE status.

I did a trial search, see attached images, it seems no difference in terms of duration greater than 2 days v.s. duration greater than 20 days? It’s strange. How does Agile measure the duration?
